Party Food Calculator
How many appetizers, ounces of main course, sides, and dessert servings you need based on guest count and meal style.
Enter the number of guests, how long the food service runs, and the meal style. The calculator returns total appetizer pieces, ounces of protein, ounces of sides, and dessert servings — using the same per-person rates professional caterers use, with everything rounded up so you don't run short.
Per-person quantities by meal type
Appetizers only (heavy hors d'oeuvres): 8 pieces per person, plus 2 pieces per person for each hour beyond the first two. No real main course; offer one substantial dessert.
Cocktail hour + full meal: 4 pieces of appetizers per person, then 6 oz cooked protein + 8 oz sides (2 × 4 oz) + 1.25 dessert servings. Add 1.5 rolls per person if it's a formal sit-down.
Brunch: 2 pastry-style pieces, 5 oz egg-based main, 6 oz sides (potatoes + fruit), 0.5 dessert servings. Add 1.5 muffins/scones per person.
Dessert-only reception: 2 servings per person with at least 3 varieties (cake, cookies, mini-bites). Hot coffee for every two guests.
Buying raw weight when the recipe is cooked weight
Beef brisket: plan on ~50% cooking loss. For 6 oz cooked per person, buy 12 oz raw. A 50-guest brisket party needs ~38 lbs raw.
Pulled pork (shoulder): ~35% cooking loss. 6 oz cooked = ~9 oz raw. A 50-guest pulled-pork party needs ~28 lbs raw shoulder.
Chicken thighs (bone-in): ~25% loss + bone. 6 oz cooked meat = ~10 oz raw bone-in. Boneless skinless: ~25% loss only.
Roasted vegetables: ~20% loss to caramelization. 4 oz roasted = 5 oz raw.
Variety matters more than total quantity
For 25+ guests at a cocktail party, offer at least 6 different appetizer items in roughly equal quantities. People graze across all of them — running out of one is what guests remember.
Mix temperatures and textures: a hot fried item, a cold raw bar / crudo, a creamy dip, a crunchy bread or cracker, a fresh vegetable, and one substantial 'mini meal' (sliders, tacos, skewers).
Always include one famously vegetarian item (caprese skewers, hummus + pita, mushroom tarts) and one famously gluten-free item (shrimp cocktail, grilled vegetables). Then you don't have to track requests.
Frequently asked questions
How many appetizers per person?
Six pieces per person per hour for an appetizer-only event ('heavy hors d'oeuvres'). When a real meal follows, plan on four pieces per person for the first cocktail hour and two pieces per hour after that.
How much food per person for a party?
For a full sit-down meal: 6 oz of cooked protein, 8 oz of sides (4 oz × 2 sides), and 1.25 dessert servings per adult. Kids count for roughly two-thirds of an adult. Round up — leftovers freeze; under-feeding doesn't.
How many pieces of food for a 50-person cocktail party?
For a 2-hour cocktail party with no meal: 50 guests × 8 pieces = 400 appetizer pieces. Aim for 6–8 different items so picky eaters always find something. Add 50 dessert pieces.
How much meat per person for a buffet?
Slightly more than plated: 7 oz of cooked protein per adult instead of 6 oz, because guests serve themselves and some go back for seconds. For brisket or pulled pork, account for ~30% cooking loss when you buy raw weight.
How many appetizers should I make for brunch?
Lighter than a cocktail party — two pieces per person of something pastry-like (mini quiches, scones, fruit skewers) plus the main savory dish (eggs benedict, frittata at ~5 oz protein) and 6 oz of sides like potatoes and fruit.
How much dessert per person?
For an evening party with a meal: 1.25 servings per person (so a 24-slice cake feeds 19 properly). For a dessert-only party: 2 servings per person, with at least three different options so people can graze.
How do I plan food for dietary restrictions?
Assume 10–15% of any modern crowd avoids gluten, dairy, or meat. Easy wins: a substantial vegan main (pasta + roasted veg, grain bowl), a gluten-free starch, and clearly labeled options. Don't make every dish 'free of' something — just make sure one of each is.
Should I count kids the same as adults?
Kids under 12 eat roughly two-thirds of an adult portion. Teenagers eat the same or more than adults. The simplest planning trick: count each kid under 12 as 0.7 of a guest, each teen as 1.2.
